Knowledge capture

The knowledge that leaves at five o'clock on a Friday

Every company runs on things that were never written down: why the machine is set that way, which supplier to call when the usual one fails, what the exception on page four actually means in practice. It lives with a few people, and at some point those people retire.

How it runs today

There is a plan to document it. The plan requires the person who knows it to sit down and write, which is the one thing they never have time for, so what exists instead is a folder of half-finished notes and a shared understanding that we should really deal with this.

What the system does
  1. 01It starts from the material that already exists: recorded handovers, support notes, tickets, the emails where the exception was explained once.
  2. 02Where the knowledge is only in somebody's head, the capture is a conversation rather than a writing task, because talking is the thing they will actually do.
  3. 03It drafts the procedure that the conversation and the records imply, in the structure your documentation already uses.
  4. 04It marks what it inferred as inferred, so the review is about the uncertain parts rather than about everything.
  5. 05The person it came from reviews and corrects it, and that review is part of the work rather than a nice-to-have.
What you get
  • Written procedures where there were none, in the form your documentation takes
  • The reasoning behind the steps, as well as the steps
  • What is still uncertain, marked rather than presented as settled
  • Material an assistant can answer from afterwards, rather than another folder
Where it stops

It does not certify that the result is correct. What it produces is a draft of somebody's expertise, and it is not the record of record until the person who holds that expertise has read it and said so.

Where this shows up
  • Handover from a retiring engineer, mechanic or underwriter
  • The undocumented procedure that only two people can actually run
  • Support and field notes turned into the procedure they imply
